About this policy
Roam Access ("we", "us", "our") is a community-driven accessibility discovery platform being built for people with disability in Australia. This policy explains what information we collect through our website at roamaccess.com.au, why we collect it, and what we do with it.
This policy is written for our pre-launch landing page. When we launch the full Roam Access platform, we'll update this policy with details about how we handle additional data, and we'll let you know before any changes affect you.
We comply with the Australian Privacy Act 1988 and the Australian Privacy Principles (APPs).
Who we are
Roam Access is operated as a sole trader (ABN: [insert ABN]) based in Sydney, NSW, Australia.

What we collect
At this stage, we only collect information you choose to give us. Specifically:
If you sign up to our mailing list:
- Your email address
- The date you subscribed
If you fill out our research survey:
- Whatever you choose to share in the survey (this may include demographic information, disability-related experiences, and opinions)
- Your email address, only if you choose to provide it for follow-up
If you contact us directly:
- Whatever you share in your message (name, email, message content)
Automatically collected when you visit our website:
- Anonymous analytics: pages visited, time on site, country-level location, device type
- We use privacy-respecting analytics (Plausible Analytics or similar); we do not use Google Analytics, Facebook Pixel, or any tracking that profiles individual visitors
What we do NOT collect
To be clear about what we don't do:
- We don't use tracking cookies for advertising
- We don't share your data with advertisers (we don't have any)
- We don't sell your data to anyone, ever
- We don't profile individual visitors
- We don't track you across other websites
- We don't require account creation to access the landing page
Why we collect it
- Email addresses on the mailing list: to send you occasional updates about Roam Access, typically once a quarter. You can unsubscribe at any time with one click.
- Survey responses: to understand what people with disability actually need from an accessibility platform, so we build the right thing. Survey data is used in aggregate (combined and anonymised) to inform our product direction.
- Contact messages: to respond to you.
- Anonymous analytics: to understand how many people visit, what content resonates, and whether our site works on different devices.
How we store and protect your data
Your data is stored on servers operated by reputable providers (currently [Mailchimp / ConvertKit] for mailing list, Google Drive for survey responses). These providers have their own privacy policies and security practices.
We protect your information by:
- Limiting access to the small team directly working on Roam Access
- Using strong passwords and two-factor authentication on all accounts
- Never sharing identifiable data outside our small team
- Deleting data we no longer need
We retain your email address until you unsubscribe, then we remove it from our active list within 30 days. Survey responses are retained for as long as they're useful for product development (typically 2 years), after which they're permanently deleted.
Sensitive information
Some of our survey questions ask about disability and accessibility experiences. Under Australian privacy law, this is considered sensitive information and requires extra care.
We treat this information as follows:
- All survey questions about disability are optional; you can skip any question
- You can complete the survey anonymously (the email field is optional)
- We never share individual survey responses publicly, only aggregated, anonymised insights
- We never identify you in any communications without your explicit permission
- We will delete your survey response if you ask us to (just email us)
Your rights
Under Australian privacy law, you have the right to:
- Access the personal information we hold about you
- Correct any information that's wrong or out of date
- Delete your information from our records
- Withdraw consent for any future communications
- Make a complaint about how we've handled your information

If you're not happy with our response, you can also contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
Children's privacy
Roam Access is intended for adults (18+). We don't knowingly collect information from children. If you're under 18 and want to engage with our research, please ask a parent or guardian to contact us on your behalf.
Third parties
We use a small number of third-party services to operate the website:
- Email delivery: [Mailchimp / ConvertKit] (depending on which we set up)
- Analytics: Plausible Analytics (or similar privacy-respecting tool)
- Hosting: [Framer / Webflow / Vercel] (depending on which we use)
Each of these services has its own privacy policy. We've chosen providers that are privacy-respecting and compliant with major data protection laws.
We don't currently use any advertising networks, social media tracking pixels, or behavioural advertising tools.
Changes to this policy
As Roam Access grows, this policy will need to change, especially when we launch the full platform and start collecting more data.
When we make significant changes, we'll:
- Update the "Last updated" date at the top of this policy
- Email everyone on our mailing list to let them know what's changed
- Give you the option to opt out before changes take effect
